What is the decision you need to make?
Please review and approved the FOSS4G 2025 Budget, empowering the LOC to start to make commitments, e.g., for the PCO and the Venue.

Why is this important?
We need to make some decisions, and the budget being approved empowers the LOC to start making, or recommending financial decisions.
What are you asking of people in this proposal?
If you have an Objection, please say why and propose a change to the proposal that makes it safe.
Remember we are seeking consent for a ‘good enough’ decision that is 'safe to try', so we can make a good decision for our organization.

Hi Alex and team - nice work. The budget is fine. Is the cost per attendee set in stone on the budget page as the amount could put off some locals (if you are from OS, then all other costs probably dwarf that) but I assume this has been discussed significantly. It might be interesting to ask for donations to the TGP from members (can we provide a tax invoice for that) which may allow us to have another funding model going forward.

The proposal seems reasonable for a number of reasons: 1) builds on previous conference budgets; 2) it includes a contingency; 3) it includes a professional organiser fee which should de-crease the financial and overall business risk (i.e. not breaking even); 4) it includes modelling for 3 scenarios.
The only mention I would make is to ensure periodic communication with the OSS Oceania Board of budget movements as organising the conference goes underway and advance payments need to be made.

Hi Ewen, I think since it's an international conference it can justify the higher costs, but yes, the FOSS4G Global folks have a target threshold of cost that we're aiming to not exceed too.
Honestly, I think we're very good value for money... but we'll try to keep costs down.
