Running the Workers Co-op Weekend 2020 as a joint event with CoTech

At the last Workers Co-op weekend myself and @johnatherton had a good chat about the possibility of having a parallel CoTech set of session at the Workers Co-op Weekend at Thornbridge 8-10th 15-17th May 2020 and there appears to be general support for that within the CoTech co-operatives so I have posted a formal proposal for this to happen with a two week time limit and if and when that is agreed we can move forward with doing what every we need to do to make this a successful event 馃檪 .

Hi Chris. Not opposed to this and I can see big opportunities to cross-pollinate and reduce costs. But could you say something about how the single event might differ from the separate events? Separate programmes with shared plenary? Longer event? Numbers attending? Sponsorship? Shared themes? Keen to know what you and @johnatherton are thinking.

Hi Mark, we didn't discuss the idea in great detail but I'd expect shared accommodation, food, bonfire, intro session and plenary and then separate CoTech and workers co-op sessions but with both open to all attending. I don't know if there is much potential for extending it other than starting earlier on the Friday and ending later on the Sunday? Numbers wise @johnatherton said there is space for 100, which I think is roughly double the numbers the past years. Nothing was discussed regarding themes or sponsorship, but perhaps @johnatherton has some more ideas to add.

Hi Chris, Yep up for discussing in more details the main constraining factor for us is the venue, which as already been booked for for 2020.

We have booked the entirety of: https://www.thornbridgeoutdoors.co.uk/facilities/ which is much bigger and i think a better spec than 2019's venue so if there is a way to meet co-tech needs and ours in the same venue over the same time that would be good.

The venue may be up for extending the contracts or issuing a seperatebut linked contract if you want to arrive Thurs night have the whole of Friday for something distinct.

Happy to work out finances so its at costs, not sure how co-tech usually finances their events? Do people buy tickets or do you just kinda put money in the pot from the different co-ops? Either way let me know how the conversation goes at co-tech and when people have a better idea what they are up to, we can arrange a call to thrash stuff out.

I'll ask regarding adding an extra day at the start, that does sound like an interesting (but perhaps expensive?) option.

The facilities look great, loads of space and accomodation! Are the Teepees included? I see that there are two locations for a camp fire :heart: .

For the last CoTech event in Sheffield (which didn't include accommodation) we picked a ticket price to cover the costs and encouraged people to buy these in advance and it worked out OK, clearly it would be daft having two ticketing systems so I imagine we would use what you have in place already for this.

A call in a couple of weeks time to go through some details sounds like a good idea.

Yes, hopefully, it was supported at the last CoTech gathering in Newcastle, as I recall @Aaron Hirtenstein (Agile Collective) has agreed to discuss the practicalities with @John Atherton at the next Workers Co-op Council meeting, which I believe is sometime this month?

Ah - Aaron can't make next Thursday's meeting. Was the date change to the following weekend mentioned at CoTech?

Yes, we were aware that the dates are now 15th-17th May 2020, I'll update the top post in this thread.

I don't exactly recall what the discussion on the following first flip chart agreed to, perhaps @Aaron Hirtenstein (Agile Collective) or @Polly Robbins remember?

On the second flip chart we agreed to have the next CoTech gathering at the Workers Co-op Weekend and also to see if we could have an extra day.

Would it be worth me having a call with someone about this before the next Workers Co-op Council meeting?
