Follow-up emails
Once a group has been approved, they go through a bunch of critical stages before they succeed:
- Approved: request has been approved but they are yet to start setting up (members = 0)
- Setup started: they've clicked the 'your group has been approved' link but failed to complete group setup (members = 1, setup_completed_at.blank?)
- Setup complete: (setup_completed_at.present?)
- Invitations sent: (members = 1, memberships.where(group_id) > 1)
- People arrive: (members > 1)
- Success: (insert Simon's definition of engaged group)
Emails to coordinators
Today we started looking at how we could use follow-up emails to coordinators to make it more likely that their new group will successfully get through these phases. Today we just focussed on the first 3 phases. I will add to this thhread as we flesh out more stages and more emails, I just want to keep everything together in one place.
Approval email
When the group is approved, the coordinator receives the Approval email. The text is customizable but here's the default:
Hi {admin_name}
I've just approved your application to join Loomio. Click the link below to set up your group:
{invitation_link}
Please let me know if you have any questions.
Thanks!
Richard
Get Started email
When they click the invitation link, we can email them some additional help info and and a personal invitation for feedback. Something like:
Hi there,
Welcome to Loomio - you’re one of our early users, so we’d like to support you and listen
to what you’ve got to say - your feedback will shape how we do things.
Here’s some information about how to use Loomio [link] and how to run a group [link].
Please tell us if there’s other information you’d like to see.
As a group coordinator, your next steps are: 1,2,3
Failed to Start email
After say 3 days, if the coordinator has failed to finish setting up their group we can prompt them with an email saying 'hey, remember you asked for a Loomio group? did you have some trouble? click here to get started'
@simontegg it would be excellent if we could track how groups move through these phases.
Thanks for this, generating strict, useful definitions is half the job!
Can a "setup completed" marker be exported by the stats rake script? Or shall we wait for a javascript-based export. @jonlemmon. I was gonna get @robertguthrie to add more stuff to the rake script in any case
I don't have a super clear picture of the simplest iteration forward. How's this:
Sound good?
