A proposal around expenses

I've been back and forth with Hannah about how to structure this latest thinkathon proposal from a financial point of view.

Here's a proposal to be discussed/debated:

To create a level playing field for all of us, expenses (flights/accommodation/meals) come out of the central pot - i.e. the 25% we're charging clients over and above our £500 day rate.

Does that sound fair? The upside as far as I see it is that it means we involve the most appropriate people, rather than those who are closest. The downside, of course, is that it reduces the pot for the end of the year...
