[AP closed] Money

This is Fran - Sam is indisposed for a few days and asked me to lend a hand closing some APs in advance of memberships sale this Sunday! This enables people to offer any final comments before the memberships form is created in 2 days' time! So, if you have anything else to add after reading the decision summary, please make your comments before then!

Decision summary:

1) Do we have a two pot system again (Pot 1 fixed costs, Pot 2 donation for everything else)? Yes

2) What is the price? £80 per person for the week. This enables us to still meet our costs if only 130 come, and provides a extra cash to book a field for parking if we need it.

3) Including processing card + platform fee will look like ~ £82.5

4) Is there more than one price? No, It's relatively cheep for a week event.

5) Do we include a food opt in? Yes. £21 kitchen membership passes. One meal per day for the whole week. You are in or out of the kitchen - no paying per day. Everyone who buys a kitchen membership will be assigned a day based on when they said they'll arrive/leave. One team per day. People can switch teams if they need/want to (self organised). Each team gets a budget and a card on Trello where they can start self organising the planning, cooking, serving, cleaning (& probably shopping) for their day.

6) Process for low income price? No low income process.

7) Do we accept additional donation at this stage to cover low income? No. We are asking for money twice: 1. membership 2. dreams pot

8) Dreams fund (Pot 2) - Average donation last year £18.5 - Say this number when it comes to donation? or have recommended donations? or keep it cool and uninfluenced free choice? Keep it cool and free

9) Does price include accommodation or camper van parking? Or car parking?

Beds - no - as last year beds are not included or guarunteed. We will explain that there are some beds and how they will be distriuted is being decided by the community. Join the discussion here [AP link]. We will include questions in the form about where people plan to sleep and this info might help inform the decision.

Parking - yes and no - you have to book a vehicle pass but you don't have to pay for one. This allows us to plan ahead without charging people extra. Are there limited passes? No. Why?

  • We don't think we can automatically limit them so we would need to keep an eye on purchases manually.

  • If we did limit them, we need to try and calculate a number pretty sharpish, which would require someone to start mapping out the site now.

  • We could possibly create more parking space by renting a nearby field for cars and organising a shuttle or drop off point to save space on-site for living and camping. We can build this into the budget.

10) What ages have to pay? 16+

5) Do we include a food opt in? No, Maybe controversial but I'd rather people that want to eat bring food that they've brought and cook food together. Food/ cooking/ eating is an important part of the day and I think we should honor it, rather than have a cooking team that cook for you.

Hey !

I agree with most here but I really think there should be an opt in for food at least for one meal same as last time. I think sitting together to eat is very important and I think this should be led by a team thay people can join/sign up to. The membership is large enough that there should be plenty of people to help/contribute but I think leaving it to every individual to bring their own food for every meal will actually discourage communal eating in the way that the whole community can come together and also might mean that the kitchen gets complicated with more people trying to prepare food etc. I'd like to keep the one meal as I think we are honouring eating/cooking by having a wonderful team of people who have volunteered to give time and effort over the weekend to offer a delicious meal for the community.

I agree with everything else re price, two pots and agree with separate process for capturing how people with arrive etc.

I'd propose maybe suggesting a donation amount to the dreams pot I.e. based on last year the average was £18 and then let people decide from there.

i enjoyed the low stress nature of last year which i think was largely due to this... the family style meal, and not having to worry about shlepping everything was really special

Mostly agree except on kitchen - i agree with Victora that this is likely to discourage mixing and matching people and actually lead to less communal cooking / large group eating - lots of people sign up to cooking and cleaning shifts which leads to lots of people meeting and most of the people who eat contribute at some point. brings people together! also supports those who struggle otherwise i.e. what about those who don't drive (we should support usage of public transport but speaking from personal experience, enough food for a week on public transport is a nightmare!), or are perhaps unable to cook for any reason? TLDR i strongly support opt-in kitchen like last year and personally love cooking and am happy to lead a shift / contribute generally

i like keeping it wild and free with dreams donations - for those who have a bit more they can go wild, those who are v low income then also don't feel pressure.

we deffo need to know # of vans for placement thinking

but my biggest concern that we've not really talked about yet - can we definitely sleep 150 people??? where are they all sleeping??? the tent field was fairly full. i know we have two more yurts but there is a whole conversation pending about how all those indoor spaces are used and no matter what it doesn't create 50 spaces. thoughts? am i just overthinking it? (relevant to this thread because # affects ££) - but i think we need to discuss this before proceeding.

ok one more thing. are we confident that we'll sell 150 memberships? i think it may be sage to slightly increase the buffer - if we're short only 13 people (i.e. 137 memberships) then that's the entire buffer gone. thoughts? it's the same % buffer we had last time but was lower risk with 100 people as that's such a small group

It doesnt mean that people wont cook together or visit the kitchen... Concede arriving by buss, although... you could be bring the spices 🔥

I think we get money for all 150 easy.

Also think we'll fit. Will be tight and may need packing. Vans on roads to yurts and more tents in camping space

I would love to see a map of the site and check if there are any alternative parking areas around, maybe we already have that info. the more the merrier imho cos more people means more fun and filling out that site with more experiences. In terms of selling tickets that I would not be worried about... i reckon they'll sell

I think guaranteeing one square meal a day for people opt in, especially those who are travelling via tranport or have trouble feeding themselves, is a vital harm reduction / prevention technique. without it i reckon welfare would have been busier last year.

its also better for the environment <3
