Orders and Payments

A number of groups are having trouble banking their payments for orders on Thursday as required by the shop. How big is this problem? Is there a way to resolve the issue so that life is easy for everyone?

We are not having too many problems in banking THURSDAY but many of my people started with me at the start and then we were paying before miday on Friday. I have been covering them at the moment which is for 7 of them. I dont like being spoken to as a child by expected to have TOUGH LOVE . it is demeaning

Rowley Resource Centre members pay (cash) for their bags a week in advance. So a new member would come along and pay for their bag for collection the next week. 7 days later they would pick up their veges/fruit and pay for the next one. The cash is then banked that afternoon direct to CSVFC and the order placed. We don't allow for our members to use internet banking as this keeps it streamlined and transparent for the volunteers running the hub. Hope that helps :-)

One of the purposes of the co-op that was presented to us was to encourage people to budget. We require all our members to pay $10 in advance, they then keep paying in advance until they leave our centre.
All our members are happy with this system.
We then direct debit from our church account on Wednesday, and bank the collected money within the week.
It works well, but requires a little money at the start for the system to work.
I'm not sure if there is a real problem, the shop ladies just seem to be seeking what the groups do and what time-frame they do it, in order to best use their time. They should not need to follow up on groups who haven't paid as this was already governed by the joining rules (unless they have changed) in that no money showing by a certain cut-off time, then NO ORDER.
People who wish to purchase through our hub are made aware of the commitment they need to make.

Thanks everyone - so far we have two systems that are working well - (1) cash payments a week in advance and (2) internet payment with direct debit each week so it is automatic. So that is great for the hubs it works for and obviously no change is needed there.
BUt other hubs have problems. Let's listen to their concerns before we make everyone conform to one of these two systems. Some of our hubs are catering for people who are not well off and who struggle to budget - and furthermore, they are used to paying later - from the early days before CSFVC was even dreamed of. See Janet's case, above - is it right that she has to subsidise people? She has experience of a system where payment is due on Monday. Need we maintain a rule that is very inconvenient for some hubs?
Yes, you are right, Louis - the rules say, no money, no order. Part of this conversation is about whether there is a possibility of adjusting those rules in particular situations.
I have (in the past) given the shop authority to order when there has been a mistake made over some detail. We need to develop a policy that allows the shop to make decisions without fuss.
It seems sensible to me to allow well established groups who can routinely pay on Friday but not Thursday to do so - perhaps they need to apply the Executive Committee or something.

This would mean that the hubs concerned would need to apply to the Executive Committee for permission to bank on Friday.
The application could be oral and the Exec would note it but the shop would know not to check the banking for those groups when they put the orders in.
I am not sure if this proposal causes problems for the shop - but if so, Laurelle and Adrienne can let us know so we can talk it through.

I would like to know how these hubs coped 6 months ago when the rule was already in place.

I dont think unless exceptional circumstances it needs to change from the current system inwhich case it should be on a case by case basis and in that case not need to ask permission as it would not be the norm

I don't think there is a need for this as currently all hubs have money deposited by Thursday, to show on Friday morning. One off cases for special circumstances have been accepted - from memory only twice since I started this task in Octoberish??

I think firstly its educating the members of each hub and explaining why their payments is required on pick up on wed, if they dont get paid until thursday, perphaps they pay $20 one week so that they are always a week ahead?
There are lots of ways around making sure payments is made on thursday, if it be done by a cash deposit or transfer so that its processed and showing by 5am friday morning. This is what our hub has had to do since we joined in 2012, im unsure as to way its suddenly turned into such an issue. -my understanding as mentioned on fb is that the ladies just want payment showing first thing friday none being made on friday if u get me?
The ladies seem understanding if its a one off delay but there is no reason why it should happen every week...
It goes back to educating members... We had probs with a few members delaying our payment for a while and it was a matter of explaining how the process works and a bit of tough love and we got there in the end :)
