November 2014 Newsletter

I've exported the contacts and sorted them for duplicates.

What is our course of action, I recall discussion regarding the following questions;

Who are the first group to receive the newsletter?
How many people will receive it initially?
Will there be versions of the newsletter that vary for our party members / newsletter subscriber groups?

How should the contacts be organized in the end?

First of all - it is NOT a newsletter that we are sending out initially... instead its an email to send out to NON-party members to encourage them to signup as official party members. We also want to send it to any newsletter subscribers to encourage them to signup as official party members or to sign up as volunteers. i will copy and paste the email into this discussion - so that we can be sure of what we are doing. Some of the contacts in the Email Marketer database are NOT yet subscribers to our newsletter - so we are asking those people to signup for it if they wish.

We have recently created a NEW online Party Membership Application form for anyone wishing to become an official Party member. Membership is completely free. Many new developments have occurred within the Party this year. For the first time we have a fully democratic and well-functioning Internal Party Structure. We have a core group of staff called "Core Staff & Delegates” (CSD). The Core Staff & Delegates group meet fortnightly via Video Conferencing and minutes of every meeting are recorded. There is currently 12 members of the CSD. A policy document has been drafted regarding admission rules to the CSD. That policy document can be found on Loomio.

We have a total workforce of about 20 volunteers and we have an online workspace on the Loomio software platform. Loomio is Decision-making Software to assist groups with collaborative decision making processes. See wiki here;

Please note - we only use Loomio for Internal Party decisions and discussions - its not the voting software that we intend to use for our own voting app when we get a seat in Parliament (most likely a Senate seat in 2016). Within the Loomio Online Workspace we have the following 12 work-groups each with their own elected Delegate:

in terms of who we send it out to first... it doesnt really matter - jut so long a we "stagger it" so that we can cope with processing any new forms or submissions. This was what i originally came up with - but this can be changed... it may just depend how you choose to sort all the groups Tom.

*** The FIRST WAVE will be to the 295 people listed under the "CONTACT” list.
*** The SECOND wave will go to the 448 “NEWSLETTER” Subscribers (we will need to edit out any links to newsletter subscription).
*** The THIRD WAVE will go to the 66 people listed under “GET INVOLVED”.
*** The FOURTH WAVE will go to the 1,077 people listed under “OLD SUBSCRIBERS”..
*** The FIFTH WAVE will go out to the 410 “UPDATED FOUNDATION MEMBERS 2012”. (Berge wants us to leave out Party Membership link).
*** The SIXTH WAVE will go out to the 818 people listed under “WES LIST 1”.
*** The SEVENTH WAVE will go out to the 438 people listed under “P_MEMBERS”. (leave out link to party membership form)
*** The EIGHTH WAVE will go out to the 34 people listed under “MAJOR ISSUE”.
*** The NINTH WAVE will go out to the 29 people listed under “2013 SOL TEAM”.

so Tom you could easily combine the 448 Newsletter list with the 1077 old subscribers perhaps. so that would become 1525. minus any duplicates.

then the first wave 295 can be combined with the third wave 66 and the sixth wave 818 and the eighth wave 34 and the ninth wave 29 which would equal 1,242, minus any duplicates.

then combine the 410 updated foundation members with the 438 P_Members which will equal 848..

So there would be THREE groups listed in ORDER of EMAIL SEND:

  1. 1st Email Send - title of contact list - "COMBINED LIST 2007-2013" ... 1,242 Contacts (minus any duplicates)

  2. 2nd Email Batch Send - to title of contact list "PARTY MEMBERS 2007-2013" 848 contacts (minus any duplicates)
    (Remember to leave out section about Party membership)

  3. Third and final Email batch Send - to contact list entitled "NEWSLETTER SUBSCRIBERS 2007-2014" 1,525 contacts minus any duplicates. (Remember to leave out bit about newsletter subscription)

Total send to 3,615 contacts minus any duplicates.

**** we may have to be careful about HOW we deal with or delete duplicates.... - What if someone wanted to be BOTH a party member AND a NEWSLETTER subscriber?
By this i mean should we combine every list into one - then do a duplicate deletion - or should we first split them into the above three groups and just do a duplicate check on each group. If we do it the first way we will confuse the info- we may loose a party member and switch him into a newsletter member even though it may be important to recognize the "he' needs to be recognized in BOTH lists..?

oh and also - i think BEFORE we do our FIRST SEND - we probably need to edit/update the "OUR PEOPLE" section on the website to more accurately reflect our current staff workforce... That means adding Tom, Peter, Rory and Emma to that section together with photos and intro's.
