Onboarding & Training moving forward 

Bringing in more members to the PPAC seems to be one of the focus for the revenue generation. Onboarding & orientation task has been historically done via onbaording team members one-on-one approach as new members came in. To conduct 6 month, bi-weekly check in with each members presented challenges such as coordinating schedules, capacity, confusion around knowledge and information; both front end and backend. And often the work falls on long-standing members, and which often had a challenge completing fully. 

This proposal aims to 

  • Bring more transparency to the Guild Information & consistency to the people’s understanding. 

  • Create more autonomy for new member’s learning process 

  • Easier for new members to meet and get to know the cooperative members.

  • Create an easier way for existing members to contribute to support new members. And leaning into their strength more. 

  • Reducing time for coordinating schedules. 

Proposal 

  • Approach: 

    • New members will start as a Cohort monthly or when there are more than one person starting as new members.

      • Pro: New members get to know each other and get to know each other more. 

    • First Session - Scheduled : Orientation of the platforms and buildings 

    • Second Session - Scheduled : Guild Culture & Cooperative Structure Orientation 

    • Third Session and on ~ Monthly Check in led by cooperative members that any members can coordinate according to their availability. (Open to all PPAC members)

        • Cafe Team: Kitchen Reset/Space Usage Tutorial 

        • Event Team: Event Check in or Tech Training 

        • Eli : Studio Tutorial

        • Mike: Basement Tutorial

    • Handbook (Draft)

      Membership Handbook (still in Development)

Oct 7 ~ 14th - Discussion via Loomio 

Oct 14 ~ 21st ~ Voting period via Loomio 

If/when approved this will implement on Nov 1st, 2025 

Any comments, feedbacks, questions are appreciated. I hope that this could support future initiatives to bring in more members with more capacity to welcome them.

My thoughts about the onboarding --

  1. I really like the guidebook. I saw one sitting on a table in the collaboratory when I was showing a friend around, and it made so much sense.

  2. I appreciate this point by Mike : Meeting with a stewarding member "ideally to accomplish some task that gives them a focus while getting to know one another." I think each person starting out should be assigned a job/task/engagement right away, whether it's helping with an event, counting the cups in the kitchen, passing out fliers, sitting at the door.

  3. A print directory of who people are and what they do (beyond what is on the portal) would be exceedingly useful, whether in the form of information at the entrance (preferred), or a handout, or facsimile Pokemon cards.

  4. As a Hell's Kitchen resident, I feel that the onboarding should include an introduction to the neighborhood, an exceptionally vibrant and lively community that could be so much more integrated and involved with Prime Produce.

  5. I've been lucky to have Yuko address every inquiry, all the time, including pretty much her take on all of those above.

Strategic Implementation and Sustainability Challenges

​I/We appreciate the excellent pool of ideas; a lack of innovative concepts is never our constraint. However, two critical challenges consistently impact our progress:

  1. Implementation and Consistency: Successfully executing these concepts and maintaining momentum and consistency are recurring obstacles.

  2. Sustainability and Workload Distribution: The longevity of initiatives is often jeopardized by the changing lives of our members. Furthermore, these initiatives are typically labor-intensive and tend to disproportionately fall to a limited number of individuals.

As we move forward, let us be mindful of these critical constraints and prioritize sustainable strategies that distribute the workload equitably and ensure long-term viability.
