Hi All,

As you may have seen at our last Guildwide Meeting, there is a "Late Dues Policy" that has been drafted. This document has been reviewed by the Board and several members, but hasn't been set up for final approval. It still needs review and work - please see the notes that are going to be appended to this post.

For now, please look over this doc, see the comments (especially Yuko's in the sub tab) and help use bring this crucial work to a point of publishing! THANK YOU

Please review this Member in Good Standing. After you've read through this please vote as to whether inact this policy or object. If you object, please add why so we can advance this discussion and have a document we can refer to keep each other accountable in the longevity of this wacky place we love called Prime Produce.



Prime Produce Apprentice Cooperative Member in Good Standing 

Overview 

As stated in the PPAC Cultural Constitution; we, prime producers, having resolved to constitute our community as a voluntary, secular, equitable collective, hereby proclaim and promise each other:

• To cultivate braver love for others in ourselves and our community;

• To advance, through art and science, the craft of intentionally serving others;

• To sow more conscientious livelihoods for individuals and organizations;

We understand that there are nuances in qualitative and quantitative measure. In order to hold each other accountable and to build a culture of healthy cooperative, we refer to the following as a guideline for what it means to be a Member in Good Standing.

A member in good standing pays membership dues on time or is part of a guild-approved Work Exchange program.  

  • Membership dues can be paid yearly, bi-annualy or monthly. 

    • For monthly payment, the invoice will be sent out on the 1st of the month and due on 14th of the month. (If you set up an automatic payment, it will charge your bank/card on file on the 14th of the month). 

  • It is a member’s responsibility to update any payment information, such as renewing card information. 

  • Request for status change 

    • To request a membership status change, including changing to a stewarding member (upon approval), a member should notify the Board & Piggybank via email by 20th of the month. Unless it is agreed upon, the change will take place in effect on the 1st of the following month. 

    • If a member wishes to pause a membership for reasons such as health, extended work travel or financial difficulty, a member should send a written request and set up a conversation with the Board as soon as possible. 

  • In times of hardship 

    • A member will be in active and clear communication with the Board. 

    • Mitigation Plans examples… 

      • Host a fundraising event that leads to paying membership dues

      • Contributing to event hosting and allocating hosting fee to membership dues, 

      • Partnering with the Grant Writing team to come up with a plan. 

    • Grace period 60 days

A member in good standing participates in Guild meetings & decision making

  • A stewarding member attends two mandatory guild wide meetings per year, which takes place in April and November. 

    • At least ONE meeting must be attended in person or virtually. For any reason, a member cannot make the mandatory meeting, a member must request fellow stewarding members to be their proxy and notify the Board immediately. 

  • A member participates in at least ONE monthly meeting per quarter and provide written affirmation that they reviewed the minutes for the missed meetings. 

  • A stewarding member participates in guild-wide decision making that requires official votes. 

    • This may take place on Loomio or during the mandatory meetings. 

    • A stewarding member commits to participate in at least 75% of the voting process to maintain a member in good standing.  

    • Other operational decisions may or could be made by team/module/committees. 

A member in good standing participates in Guild operations & stewardship of the Guild Hall

  • A member follows the space reset guidelines and participates in the upkeep of the guild hall by leaving space better than they found it. 

    • Bathroom clearing, bringing garbage down and out for our carting service, shared kitchen clean up…

    • Cleaning up after hosting your guests… 

  • A member participates in at least TWO teams/modules/committees and contributes in stewarding of the space, which includes but not limited to, upkeep of the physical environment, maintaining communication, being a liaison between the committee and the guild at large.

  • A member participates in sharing knowledge to new members, through onboarding process, conversation and more. (Must lead TWO onboarding Sessions or more per year) 

Final Note

PPAC is committed to supporting its members wherever possible and encourages transparency and proactive communication to reach solutions that work for both parties. This policy is intended to balance individual needs with the cooperative’s shared responsibilities. Consenting to getting this going; I can deal with the small concerns and trust that we'll easily work through them. Appreciate folks adapting to the suggestions. Thank you to all who are making this happen!

I support most of what is written, but have one major concern and two smaller ones, and lacking a block option, I'm not sure how to ensure these are at least addressed.

The smaller concerns are:
1) The formatting of this policy didn't translate well into the Loomio text, so we should treat the Google Doc as the formal policy text (and fix that where needed). We should also enumerate the sections and subsections for easy reference.
2) Kind of related, the line "Other operational decisions may or could be made by team/module/committees." in the second section, last subsection, is really unclear. I'm not sure at all what that means or how it relates to membership in good standing.

The bigger concern is that we did not include any language addressing the issue of work exchange and stewarding membership. I'd like to propose that we amend "A member in good standing pays membership dues on time." to "A member in good standing pays membership dues on time or is part of a guild-approved Work Exchange Program."

I'm sure there are details about that we'd want to discuss, but they could be covered in a separate policy specifically about how Work Exchange Programs function.

Changing my vote per what Dave wrote. Proposal overall is generally fine, but we need to define what the guild status of work exchange members is in terms of what it means to be in good standing in lieu of paying dues and their overall status in the guild.

I believe we are operating with, and/or developing a couple of levels of membership, and all of that is to be explored and I think tiered out and proposed-out separately for clarity. That said, I think this is solid enough to move forward with in regards to Stewardimg members (and those on work-exchange programs thank you @David) and as other levels of membership are developed (and clearly built out) then we can make amendments.

I am voting yes because I think we need this, and half our battle is implementation. But I echo Nicola's concerns of admin and clarity and details around exactly what happens if a member is not in good standing. The board will need to address these if we have an issue.

One more thing to add, if members are switching from pre to stewarding members, they need to be notified that their stewarding membership is approved before the 20th.

Re: Stewarding Members v Work-Exahcnge.

I appreciate the suggestions and conversations and care for it. My intention for drafting this was Work-Exchange = Member who are paying the dues by their labor. So, explicitily stating that works great.

Small concern 2)

The intention and hope was that once the Board has more clarity around. What board can/cannot make executive decisions, etc... then we can have more clarifying ideas around there.

Re: Consequence

That should be somewhat in alignment with the late payment policy's "sustpension after 60days" type situation.

Side bar - is it me and my lack of tech savvy or do we have two discussions/proposals/votes on the same thread?

I’ve come back several times looking for these votes, got lost, then had to move on to other projects.

I must say I get very confused on where to go for current votes and discussions because a lot of these discussions started many years ago (ie what I think is 2 separate discussions and votes on one thread here???).

If there is support out there for someone like me (and tech confused soul) I’d be delighted to have another Loomio tutorial. And if I can get the hang of it, I’d gladly impart my new found knowledge to any new members with questions!

Consenting to get this started, however I have some concerns as in; 1. will this create additional admin work- communication and tracking; Hence an admin fee should be charged.

  1. For clarity and fairness, the policy should specify timeframe (within 7 days of the 60 day grace period ending) to remove their belongings from the building. Leaving it completely open to be "specified by the board" can create uncertainty.

  2. What if the outstanding dues/debt isn't paid. Does it get absorbed by the guild and disappear or remain on the books? What is next?

  3. As for the Work exchange program - is there a formal work exchange agreement that is signed by both parties that outlines the scope of the work, hours, timeline, and exact dollar value of the dues it covers?

  4. What is the method and timeline -re: documented process - day 15(after due date): initial reminder and notification of lateness. Day45(within grace period): formal written warning about impending suspension.

  5. Day 61(after grace period): formal notice of suspension and removal deadline. This ensures a clear paper trail and protects the coop if a member disputes the action.
