migration of osgeo.org based email to hosted provider
The Board proposes to move email for the osgeo.org domain from self-hosted infrastructure to a hosted provider, with Soverin.nl as the preferred supplier, and asks the System Administration Committee to co-own the migration. Mailing lists on lists.osgeo.org stay on OSGeo infrastructure and are out of scope. Migration of foss4g.org follows at a later stage, when the same setup can also serve conference addresses through inboxes or aliases.
This is not about what SAC can or cannot build. SAC can add scanning, IMAP and more. The concerns are the ones shared across the Board: junk reaching officer inboxes, difficulty sending on behalf of an @osgeo.org address, and the effort of configuring aliases and clients every time a volunteer role changes. Those land on the people holding OSGeo addresses and on the volunteers who support them, and they stay whatever we add to the current setup.
Soverin supports the relevant open standards, transport encryption and authentication protocols. It offers aliases, admin roles so more than one person can manage accounts, and calendar and contact sync. It does not offer integrated PGP. The Board accepts that in exchange for a setup that works in normal mail clients. Integration with OSGeo LDAP is not a requirement for this move.
Cost is 10 EUR per inbox per year. Storage is bought in blocks of 25 GB at 29 EUR per year, and we distribute it across accounts as we see fit. Our own domains and subdomains carry no charge.
SAC retains DNS authority for osgeo.org and leads the MX, SPF, DKIM and DMARC changes, an inventory of current accounts and aliases, and migration / cut-over plan.
SAC is asked to raise blocking concerns within five working days of this motion opening.
