Remote onboarding to build trusted relationships
Overview

About the work
Why the work is being done |
This is a Cluster project, bringing together a group of organisations with the shared need of transitioning face-to-face training and support services online in response to COVID-19. |
Problem to be solved |
The problem area is broad and includes:
|
Who the users are and what they need to do |
There are six partners in this cluster. Their users are teachers, tutors, foster carers and carers for the elderly, each going through a recruitment process to join the charities’ networks/ communities/ services. They need to be onboarded into new services, ensuring the same level of trust and safeguarding that had previously been achieved face to face. |
Expected outcomes for this work |
|
Any work that’s already been done |
This work forms a part of wider support all organisations are receiving from Nesta. As a Cluster we have had an intro session to identify the shared challenge. This Miro Board captures our discussion. |
Who the Digital Team will work with |
At the kick-off session, reps from each charity will be present and we’ll agree on the lead point person from the cluster and the level of engagement from each partner. |
How many days can the nonprofit team commit to this project? |
The lead organisation is expected to commit two days a week to this project. Involvement from the other organisations might vary and needs to be agreed as a team. |
Do they have internal developers and which tech stack are they using? |
Some do, and others have volunteer support that has helped build existing systems. All organisations have been experimenting with running online webinars and remote communications with their networks. They each have existing tech systems and processes. |

Hi @Debby Mulling (Catalyst) could we provide some clarity to potential partners about how the Loomio decision date (on 13th July) will be made?
Debby Mulling (Catalyst) Fri 10 Jul 2020 12:41PM
Hi @Noam there will a final poll on Monday and based on that we will propose one of multiple suggestions for digital teams well placed to work on this issue. We will post this here, so you are able to comment/feedback on that before we make a final decision on which team will be the best match to work on this issue with this cluster. We will also post the final decision and our rationale here.

@Noam (Catalyst / SIDE Labs) going forwards, where do you feel this info would be most helpfully shared? In the brief, in this thread, in the Loomio posting guidelines doc (there's a small section that covers this currently), the Collaborator handbook, the Catalyst website... multiple of the above?!
Andy Bell (SIDE Labs) Mon 13 Jul 2020 11:17AM
I'm not too worried about where the info is shared (either on Loomio or in the Loomio post guidelines sounds reasonable). I'd much prefer if it is was just in one place, as otherwise I'm spending lots of time navigating between different articles, trying to figure out whether they are saying the same thing.

I think it should live in a FAQ thread on Loomio. Then each new project posted can anchor link to selection process direct in thread. If the individual project has a slightly different selection process, then it is stated in the project brief.

I'm wondering if this would be useful? Here's a Google doc containing: notes for a discovery phase
Feel free to add, comment, contribute, highlight, emojise or whatever else takes your fancy 😜
All contributions welcome!

@Ed Perkins (Neontribe) @Harry Harrold - you've both indicated different answers for this one, just wanted to confirm whether you're interested in this one or not?
@Smag0 - we aren't sure who you are! Please could you add your organisation in brackets next to your name? And if you're still interested in the data role, please could you give a little more detail about your experience here and why you think you'd be a good fit?
@Darshan Sanghrajka - you've said you're interested in the design role, please could you add a bit more background about how you think you'd be well placed? e.g. designing for groups that work with young people, or with coalitions of partners?
@Gemma Hampson (Hactar) & @Matt if you could confirm whether you're interested in this one or not, and in what capacity, that'd be grand.
Feel free to reach out to each other to suggest teaming up if you think your skills and experience could be a good complement to another's!

Hi @Ellie Hale (CAST / Catalyst) I think both are true in that we think it's probably not right for us, but we wondered if we might be able to add our experience to the discussion and see how things developed after that. I hope that would be ok?
Ellie Hale (CAST / Catalyst) Mon 13 Jul 2020 12:53PM
Thanks @Ed Perkins (Neontribe), that makes sense. If you could add your experiences into this doc that @Andy Bell (SIDE Labs) created, that would be awesome and much appreciated :) These Nesta projects may well come back round again for Phase 2, at which point we'll have a more clearly focused brief with potentially with fewer partners than the original cluster.

I’ve been reflecting on my experiences onboarding people remotely in lockdown, to see if there are any common threads.
There are four projects where we are onboarding people: Digital Candle, SIDE Academy, Design Club, and Asylum Guides.
What strikes me first is: they are all so different! Digital Candle was remote only already, so not much has changed. SIDE Academy is onboarding a very small number of tightly recruited individuals… it’s a big investment of our time, but it's a delicate and handcrafted process to knit them into our team. Design Club has stopped onboarding and shuttered itself until post-Covid. Asylum Guides is continuing but with lots of tweaks to the onboarding process and the end deliverable.
Two questions:
To the organisers of this cluster: is there a risk that no common thread will emerge? What happens if we conclude that the needs in each of the 4 or 6 orgs are just fundamentally different?
To everyone out there: is anyone doing onboarding at the moment in a situation where it feels their learning is generalisable?
