[AP closed] Selling memberships

This is Fran typing - Kas is indisposed for a few days and asked me to lend a hand closing some APs in advance of memberships sale.

Decision summary:

0.1) from previous AP date is 4th-11th April 2023

1) Memberships to go on sale Sunday November 27th at 7pm.

2) The link for membership sales will be at the top of our Linktree page https://linktr.ee/CelticBurn

3) Using Typeform (same as last year)

4) Answers from Typeform to go to a master spreadsheet, where we can all view who is coming, emails, arrival and departure dates, where travelling from etc. Permission for this info to be shared with fellow members will be explicitly requested on the typeform.

5) Site can accommodate 150 people, so that's the number we will sell. Once these are all sold we will close Typeform.

6) Confirmation email will be automated, including 'Make Your Own Membership (MYOM)!!

Purpose of the Advice Process

Selling memberships for Celtic Burn 2023.

Process

Context

This proposal is similar to last year but with fewer backroom admin tasks. New for this year, more transparency- names go to the masterspreadsheet so everyone can see who is coming, when, how etc. More room for collaboration e.g ride shares, dream ideas. Hopefully, with a cheaper site next year, we could make it more organic, with a list filling up and less pressure to buy a "ticket" before they all run out! I love the idea of everyone making their own membership (e.g. postcard size and handmade), so it feels more personal and intentional.

Yes!!! Let's get this ball rolling! I see there are a number of things that we need to address here. Mainly, what is the price? Is there more than one price? Do we include anything other than the site costs in the membership sale (and keep food and art as secondary money inputs) ? Do we include donation to art funds in this sale or do it later? Process for low income price? Do we accept additional donation at this stage to cover low income? Does price include accommodation or camper van parking? Or car parking? I have opinions on all of those. Maybe I should do an AP for each one with a short window that finishes before this one? What do people think?

Deffo think side by side AP sounds good as all questions worth considering, although i'd suggest it is rolled up into one big money AP instead of loads of APs. I've made this spreadsheet https://docs.google.com/spreadsheets/d/1opRKvuo3ozy73LX9d1V6uUQw_UDE67AQYeCe3rXjmag/edit#gid=0 which details the fixed costs (site, insurance estimate, that kind of stuff) - this was our 'pot 1' last year seperate from the dreams budget for the fun stuff. up to debate obvs if we want to plan it the same way but figured it's helpful info to have out in the open / may be useful context for the questions you are thinking about related to this AP.

1 - i think that's great, good to get the ball rolling! i imagine initially it could be a bit slow to get going but that's ok too imo

2 and 3 - i like this as well, i can see from the notifications / view lists on this page that a lot of people have been notified. only issue is if anyone is unhappy with / struggles to access loomio they won't even be able to object, let alone acquire a membership! i like that it creates an easy option for including information about the community at the point of gaining membership, typeform is also good for this

4 - it will be nice to share some info but i think we need to be very careful about consent and GDPR here, and also give people options to share some, but not all info (i.e. just first name etc that kind of stuff). also for privacy beyond that perhaps a private spreadsheet to which people must request access

5 - yes but i do worry about where everyone is sleeping!!! fitting in all the tents and vans worries me a bit as mentioned on the AP about making the event week-long. if no one else thinks it's a problem then perhaps i am overthinking but i think it's worth considering

6 - love it

With 4) Emily if we put a consent box opt in at member purchase stage for their contact info being shared in a rideshare-esque spreadsheet we should be OK GDPR wise

Super down for Typeform as you know! Process sounds good to me, with some fields deleted from master spreadsheet eg card details. And clear consent of course.
